Solution by industry, schools & educational institutions

Enrollment forms signedbefore the term starts.

Parents and guardians across the state or around the world sign the enrollment agreement without a trip to campus. Field trip permission slips, photo consent, and handbook acknowledgments with an evidentiary audit trail. Sector-specific compliance, including FERPA and COPPA, stays your institution's call — see the compliance note below.

What administration deals with every year

Four points of friction every enrollment season.

Enrollment forms wait on a parent who's out of state

Co-parents in different states, a guardian stationed overseas, a family traveling for work. Collecting paper signatures takes weeks and delays the first day of school.

Field trip permission slips go missing

The signed slip stays in a backpack or gets soaked in a lunchbox. The morning of the trip, staff are calling ten parents for a verbal okay instead of preparing the bus.

A handbook nobody remembers signing

Handed out on the first day, filed away and forgotten. When a disciplinary issue comes up, a parent says they were never notified of the policy.

Photo and video use without a signature on file

A student's photo goes up on the school's website or social media. A parent objects that they never gave explicit consent to use it.

Document types

Real use cases for U.S. schools & educational institutions.

Private agreements signed under the ESIGN Act and UETA. Your administration loads the template, sends it to families and staff, and archives the signed PDF in the student's or employee's file. The legal content of each document remains the responsibility of the institution or its counsel.

Enrollment agreement

Tuition, program dates, seat commitment, and the institution's general terms, signed by the parent or guardian before the term starts.

Field trip / activity permission slip

Off-campus trips, athletic events, or academic outings. The parent signs with the trip details and any transportation authorization.

Photo & video use consent

Consent to use a student's photo or video on the school's website, social media, yearbook, or other materials. One signature at the start of the year covers the term.

Handbook / code of conduct acknowledgment

Conduct policy, device or dress-code rules, and other institutional policies, acknowledged in writing by the parent and, where applicable, the student.

Tuition payment confirmation

A signed record of a tuition or fee payment. Useful when a family needs proof of payment for a third party.

Staff & contractor agreements

Service agreements for teachers, coaches, substitute staff, or outside contractors — scope of work, conduct expectations, and confidentiality around student information.

Sector compliance is your institution's responsibility

What Kligrafia does, and what it does not claim.

Kligrafia provides electronic signature and an evidentiary audit trail — the same core capability across every industry we serve. Education carries its own regulatory layer on top of that, and we want to be direct about where our responsibility ends and yours begins.

Sector compliance is your institution's, not ours

Kligrafia is a general-purpose electronic signature and evidentiary audit-trail platform. Using it does not, by itself, make your school or program compliant with FERPA, COPPA, or any other student-privacy regulation. Your administration or counsel is the right party to confirm that your enrollment, consent, and records workflows meet applicable federal and state requirements.

No certifications claimed

Kligrafia does not represent that it holds a "FERPA certification" or a "COPPA certification" — no such federal certification program exists for software. If your institution needs a signed data-processing agreement covering student records, that is a conversation to have with our team before you use the platform for protected student information.

Consent content and recordkeeping stay with the institution

An electronic signature records that a document was signed — it does not replace the specific notice language FERPA requires for directory information, the parental-consent mechanics COPPA requires for services aimed at children under 13, or your institution's own recordkeeping obligations under state education law.

Differentiators for schools

Built for school administration.

  • Parents and guardians sign without traveling

A parent working out of state, a guardian stationed overseas. Everyone signs the enrollment agreement from their phone in their own time zone. Enrollment closes in hours, not weeks.

  • Multiple signers on one document

For consent that needs both parents or an additional guardian, add every signer to the same document. It completes once each one has signed from their own email.

  • Bulk sending at the start of the school year

Upload the roster from a spreadsheet and Kligrafia sends each family's personalized enrollment agreement. Track who's signed and who's still pending from a central dashboard.

  • Templates by grade level or program

Build separate templates for early childhood, elementary, middle, high school, or a specific program, each with its own clauses, tuition, and calendar. Reusable every year with minor edits.

  • An audit trail for disputes

If a parent says they never signed the handbook or a permission slip, the evidence report PDF shows the hash, the timestamp, the IP, the device, and the identity-verification level reached.

  • Your school's branding

On Teams, invitation emails and signed PDFs carry your school's logo, colors, and contact details — reinforcing a professional, recognizable process for families.

    Start of the term

    Complete files, ready to go

Every agreement, permission slip, and consent form archived with its audit trail. The school year starts with files in order.

Frequently asked questions from schools & educational institutions.

Is an electronically signed enrollment agreement legally valid in the United States?

Yes, as a general matter. The ESIGN Act (15 U.S.C. §7001) and UETA — adopted by 49 states, with New York using its own equivalent statute, ESRA — give an electronic signature the same legal effect as a handwritten one for private agreements between a parent or guardian and an institution, as long as the signer's identity and the document's integrity can be established. FERPA (student education records) and, for programs that serve children under 13 online, COPPA add privacy obligations that operate independently of signature validity — confirm both with your school's counsel before relying on any signed form.

Can a parent who lives in another state or overseas sign?

Yes. The electronic signature works from anywhere. A parent working out of state or a guardian stationed abroad opens the email, reads the enrollment agreement, and signs from a phone or computer without traveling. Enrollment closes in hours instead of weeks.

Is Kligrafia FERPA or COPPA compliant?

Kligrafia is a general-purpose electronic signature and audit-trail platform, not an education-specific or “FERPA-certified” or “COPPA-certified” system — there is no official federal certification program for software that would make that claim meaningful. Whether your specific use of Kligrafia satisfies FERPA or COPPA depends on your institution's own policies, what student data you handle inside versus outside the platform, and any data-processing agreement your institution may need. That determination is your institution's responsibility, in consultation with your administration or counsel — it is not something we assert on your behalf.

How do we verify that the person signing is the parent or legal guardian?

With Level B KYC verification — a government-issued ID (driver’s license or passport) matched against a live photo. The Pro plan includes 2 free Level B verifications a month; Teams plans can add packages sized to your enrollment volume. KYC helps confirm the person signing is the legal representative on file, which matters for permission slips and consent forms.

Can we send the same document to both parents or guardians?

Yes. For consent that requires agreement from both parents or an additional guardian, add every signer to the same document. Each one receives their own email, signs on their own time, and the document completes once everyone has signed. Useful for consents that require both parents' agreement.

How do we handle the bulk send at the start of the school year?

The Teams plan supports bulk sending from a spreadsheet. Upload the roster with each family's contact details and Kligrafia sends the personalized enrollment agreement to every parent or guardian. Administration tracks who's signed and who's still pending from a centralized dashboard.

How many seats do we need on the Teams plan?

Teams starts at 3 seats at $8/seat/month ($24 minimum). A typical setup assigns one seat to the front office, one to academic coordination, and one to the business office. Larger schools add seats for department heads or student-services staff without changing plans.

What if a parent disputes their signature?

Every completed document generates an evidence report PDF with a SHA-256 hash of the document before and after signing, timestamps for every action, IP address, user-agent, device, approximate location, and the identity-verification level reached. Anyone can verify the record’s integrity at kligrafia.com/verify, no account needed.

Start the next school year without paperwork.

Create your account, load your enrollment templates, and start the bulk send. Enrollment complete before the first day of class.
